Airfare
Travelers are strongly encouraged to book airfare using a university preferred Travel Management Company. Travelers should book airfare well in advance to secure the lowest fares and optimal travel times.
- Travelers are required to purchase the lowest available economy/coach class airfare that meets the business needs of the traveler.
- Nomenclature for fare class will vary across airlines, but includes Economy, Coach, Wanna Get Away, and Main Cabin.
- Booking Basic Economy is not recommended due to the inflexibility of the fare (no seat selection, changes, or cancellations allowed).
- Reimbursement for additional fees including seat selection within economy/coach class, early bird check-in, and internet access during the flight are subject to departmental approval.
Airfare upgrades using frequent flyer miles or points are allowable; however, reimbursement will only be for ticket purchase price. Tickets booked solely with frequent flyer miles, credit card rewards, or points are not reimbursable.
- Next class of service upgrades are allowable for international travel in which nonstop flight times are six hours or more. When upgrading, travelers are not allowed to skip a class (i.e. Coach upgrade to First if Business class is available).
- Nomenclature will vary across airlines, but upgraded classes include Main Cabin Extra, Anytime, Business, Business Select, Comfort Plus, Economy Plus, and First.
- All other next class of service upgrades must receive advance approval from the traveler’s Business Officer.
- Refundable airfare tickets are an additional expense that requires advance Business Officer approval.
